Leaves

Leaves is where you request time off, keep track of your leave activity on a calendar, and — if you're set up as an approver — review and decide on leave requests submitted by others.

Overview

What it is: The time-off (leave) module of In Time PRO Web, organized into three tabs: My Leaves, Calendar, and Leave Approvals.

Why you use it: Time off needs to be requested and reviewed before it's confirmed, and it affects other parts of the product — for example, working-day and attendance calculations, and the leave summary shown on your Dashboard.

Who can access it: Leaves appears in your menu if your company's plan includes the feature and your role has the Time Off permission. By default, this includes Employee, Manager, Program Manager, Contractor, and Accountant. See Roles and Permissions below for the full breakdown, including who can approve requests.

How to access

Main Menu → Leaves

If Leaves is missing from your menu, your company's plan may not include this feature, or your role may not have the Time Off permission — ask your administrator.

How the Leaves workflow works

Submitting and approving leave follows a simple cycle:

You submit a leave request
↓
Status starts as Pending
↓
The request is routed to the approver configured for your project
(falling back to your reporting manager if none is set)
↓
The approver is notified
↓
The approver reviews it from the Leave Approvals tab
↓
Approved or Rejected
  • Your leave request is routed based on your project assignment and the Leave Approvals approver configured on that project — see Projects → Leave Approvals for how an Admin, Project Manager, or Program Manager sets this up. The approval-chain design supports up to 5 approval levels per project.
  • If no project-level approver applies, the request can fall back to your reporting manager (set on your profile under Manage Users).
  • Whoever is set as the approver receives a notification that a leave request needs their review.
important

Level 1 is the approval level used for current requests. Approval Levels 2–5 are currently on hold for current use. The approval-chain structure supports these levels, and when they are enabled, a leave request can move through the configured approval levels sequentially — Level 1 approval, then Level 2, then Level 3, and so on up to Level 5, where applicable. This reflects today's availability, not an unfinished feature — Levels 2–5 are a fully supported part of the design.

Leave statuses

StatusMeaning
PendingSubmitted and waiting for an approver's decision.
ApprovedThe approver accepted the request.
RejectedThe approver declined the request.
OverdueThe request has been pending beyond the expected approval window.
SystemApprovedApproved automatically by the system rather than by a person.
NANot applicable.

Leave duration and types

A leave request has a duration — either Half Day or Full Day — and a leave type, chosen from a list that includes options such as Conference, Parental Leave, Business Trip, Vacation, Unpaid Leave, Sick, Casual Leave, Out of Office, and Public Holiday.

My Leaves

Use My Leaves to submit a new request and review your own leave history. This tab is available to anyone with access to Leaves.

Calendar

The Calendar tab shows leave activity on a calendar layout, so you can see time off at a glance rather than as a list.

Leave Approvals

Leave Approvals is shown only to users with the Leave Approval permission (Pages.TimeOff.Approval — labeled "Leave Approval" in the Roles permission tree). From here you can:

  • Open a submitted request and review it.
  • Approve or reject it.
  • Export requests to PDF or Excel.
important

"Leave Approval" (the permission that controls this tab) is a different permission from the one used by Time and Attendance's Pending / Approved / Declined tabs, which is about offline (manual) time, not leave requests. The two are easy to confuse because both involve approving something and both have "approval" in the name, but they control two separate features. See Administration → Roles for the distinction.

Roles and Permissions

Leaves uses two permissions:

PermissionWhat it controls
Time Off (Pages.TimeOff)Access to Leaves itself — My Leaves and Calendar.
Leave Approval (Pages.TimeOff.Approval)Access to the Leave Approvals tab, to review and decide on requests.

Default access, for a newly created company:

RoleTime Off (My Leaves, Calendar)Leave Approval (Leave Approvals tab)
Admin / Super AdminYesYes
ManagerYesYes
Program ManagerYesYes
EmployeeYesYes
ContractorYesYes
AccountantYesYes
ClientNoNo
note

It may look surprising that Employee, Contractor, and Accountant get the Leave Approval permission by default, alongside Manager and Program Manager. This is confirmed, current default behavior — but whether it's intentional product design is a separate question this documentation does not resolve. ON HOLD, product confirmation required.

An administrator can grant or remove either permission for any role under Administration → Roles. Whether your specific company's setup still matches these defaults can also differ if your organization has used In Time PRO for a while — newer and older companies can end up with slightly different starting permissions. If your own access doesn't match this table, check with your administrator rather than assuming it's an error.
